Hello, I’m Kelly, the Creative Director behind Vanilla Tribe Weddings + Events. Boasting over two decades of expertise in event management, I've seamlessly orchestrated a diverse range of events across Australia. My portfolio includes everything from multi-day conferences, marquee setups at prestigious races and polo events, to sophisticated weddings, incentive trips, and exclusive private gatherings featuring celebrity chefs. I have a proven track record in securing and managing top-tier entertainment, featuring renowned artists such as Jon Stevens, Sneaky Sound, Samantha Jade, Ricki Lee, Hot Dub Time Machine, and Kelly Rowland, among others. After relocating to the picturesque Scenic Rim in Queensland and planning my own wedding, I recognised a need for local wedding and event hire and planning services. This realisation fueled my entrepreneurial spirit, leading me to establish Vanilla Tribe Weddings + Events and assist others in planning their weddings or events in the Scenic Rim. We also offer complimentary delivery to some locations in the Scenic Rim, as we are based near Beaudesert.

Setup + Pack-down

Want to enjoy your big day without the stress of setting up and packing down all your styling elements? We've got your back.


Our setup and pack-down service covers everything you need for a seamless event. Here's what's included:


  • Ceremony Arbour: We'll make sure your ceremony space looks picture-perfect.
  • Chairs + Stools: Your guests will have comfy seating waiting for them.
  • Tablecloths + Napkins: Elegant dining settings are our specialty.
  • Charger Plates + Cutlery: We'll ensure every place setting shines.
  • Candles + Vases: Create a romantic ambiance with our candle and vase arrangements.
  • Champagne Tower: Elevate your celebration with a stunning champagne tower.
  • Floral Wall and More: Whatever styling elements you've dreamt of, we'll make it happen.


For late-night pack-down, we offer an additional service for just $150. Travel costs vary depending on your location.


Leave the setup and pack-down to us, so you can focus on making memories that last a lifetime. Let's make your event unforgettable!

On the day Coordinator

For the couples who've been planning their own wedding, our service offers the ultimate peace of mind. Imagine having a dedicated professional to manage the day, add those perfect finishing touches, and ensure your wedding unfolds exactly as you envisioned.


We'll be your wedding day orchestrators, keeping everything on schedule and ensuring it flows seamlessly. Let's face it, on your big day, you want to be in the moment, not running around trying to be in four places at once. You want to savour every precious moment with your favourite people, free from stress.


Five-Six weeks before your wedding, we'll sit down with you to dive deep into every aspect of your day. Following this meeting, we'll craft an intricately detailed wedding day schedule and act as the liaison with all your suppliers, making sure everyone is crystal clear on the day's arrangements.


Our service includes up to 9 hours on-site, and for any additional hours needed, we can discuss the details and any associated costs.


With us by your side, you can relax and enjoy your wedding day to the fullest. It's your time to shine, and we're here to make sure it happens seamlessly.

Wedding Planning

With a dedicated professional by your side, we're committed to transforming your dream wedding into a reality.


Let us guide you through the entire planning process, from selecting the perfect venue to coordinating with vendors and negotiating packages, to crafting a detailed run sheet and coordinating your special day seamlessly. Our focus is on handling the finer details, allowing you to be fully present in each magical moment of your special day. This package is limited to a select number of couples annually.


Your dream wedding awaits, and we’re here to make it a reality!

Champagne towers don’t just add elegance to your wedding or event; they create enchanting moments and capture stunning celebratory photos. Our Champagne Tower comes with coupe glasses, an acrylic drip tray and acrylic plinth.

Terms + Conditions

1. Introduction

1.1 Welcome to Vanilla Tribe Weddings + Events ("the Company," "we," "us," or "our"). These Terms and Conditions ("Terms") govern your use of our website, products, and services. By accessing or using our website, you agree to comply with and be bound by these Terms.


2. Services

2.1 Vanilla Tribe Weddings + Events provides wedding planning and event hire services. All services are subject to availability and acceptance by the Company.

2.2 We reserve the right to modify or discontinue any aspect of our services without prior notice.


3. Booking and Payments

3.1 To secure our services or hire items, a 40% deposit is required on confirmation of your booking. Items or dates are not held until a deposit is made, this is non-refundable.

3.2 Final payment must be made in full before or 1 month prior to the event date.

3.3 Prices are subject to change without notice, but once a booking is confirmed, the agreed-upon price will be honoured.

3.4 For any hire items, a $200 refundable bond is required at time of booking. This will be reimbursed if all items are returned in the condition, they were hired out in. Return payment will happen within 7 days of items being returned.

3.5 A cleaning fee of $100 will be charged for cutlery, candles, charger plates, tablecloths, napkins, and champagne tower.

3.6 'On the Day Coordinator' includes up to 9 hours on-site, for any additional hours these will be charged at an hourly rate of $70 per hour.

3.7 Vanilla Tribe offers complimentary delivery to many locations within the Scenic Rim as we are based in Beaudesert, to get this offer we have a min spend of $800.


4. Cancellation and Refunds

4.1 Cancellations made by the client less than 30 days before the event may result in the forfeiture of the entire payment.

4.2 In the event of cancellation by Vanilla Tribe Weddings + Events, a full refund or suitable replacement service will be provided.

4.3 Cancellations made by the client will result in the loss of your initial deposit. Should you need to postpone your event please contact us ASAP to discuss further.

4.5 For any events impacted by COVID-19 and governmental restrictions, we present the following options:

  • Reschedule to a date (subject to availability) within the next 12 months.
  • Opt for a credit note if your event undergoes a complete change. This credit can be utilized for any of our services / hire items within the next 12 months and must be redeemed in a single booking.
  • In the event of cancellation, if you choose not to proceed with your event and cannot utilize a credit note, please note that your booking deposit is non-refundable. Any additional payments made will be refunded, minus any completed work expenses incurred to date.


5. Client Responsibilities

5.1 The client is responsible for providing accurate information and timely communication regarding event details.

5.2 Any changes to the event details must be communicated to Vanilla Tribe Weddings + Events in writing.

5.3 The client is responsible for obtaining any necessary permits, licenses, or approvals required for the event.


6. Liability

6.1 Vanilla Tribe Weddings + Events is not liable for any loss, damage, delay, debt or injury resulting from the client's failure to comply with these Terms or any negligence on their part.

6.2 The Company is not responsible for circumstances beyond its control and will not issue refunds, including, but not limited to, natural disasters (such as cyclones, bushfires, floods, and storms), pandemics, strikes, or government actions.

6.3 No responsibility is taken for venue closures; however we do our best to help find another venue where possible.

6.4 The client will be financially responsible for any loss or damage to any venue or supplied items during your event.


7. Intellectual Property

7.1 All content on the Vanilla Tribe Weddings + Events website, including text, images, and designs, is the intellectual property of the Company and may not be used without permission.


8. Privacy

8.1 The Company respects your privacy. Our Privacy Policy outlines how we collect, use, and protect your personal information. If you would like a copy of our privacy policy, please email us at hello@vanillatribe.com.au.


9. Governing Law

9.1 These Terms are governed by and construed in accordance with the laws of Queensland. Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts in Queensland.
